About This Policy

Panka Natural Health, LLC ("PNH," "we," "us," or "our") operates pankanaturalhealth.com. This policy explains how we handle information collected through our website and related online inquiries, scheduling, purchases, and communications.

Our separate Notice of Privacy Practices explains how we handle clinical health records and the rights that apply to those records. You can request a copy from our office. Information does not lose the protection of applicable health privacy laws because it was submitted online or through a service provider. We handle patient health records under the Minnesota Health Records Act regardless of how consumer privacy laws apply to us. This policy is a notice of our practices; visiting our website does not authorize uses or disclosures that require separate consent.

Information We Collect and Why

Inquiries and scheduling. We collect the contact details, appointment information, and other information you submit so we can respond, arrange services, and administer your request. Our inquiry and introductory-call forms may collect information about the reason you are seeking care, including health-related information about you or a family member. We use this information to respond to your request and arrange care, not for marketing. We safeguard health-related information in introductory-call submissions in the same manner as clinical health information. Please provide only what the form requests. Use the patient portal for clinical records and ongoing questions about your care.

Purchases and payments. When you make a purchase or pay a booking deposit, our commerce and payment providers process payment details. We receive order, contact, billing, delivery, and transaction information needed to process the transaction, fulfill the order, provide support, and maintain business records.

Newsletter. Subscribing is a separate, optional choice. If you subscribe, we use your name and email address to send clinic news, events, and educational content through Mailchimp. Mailchimp may also record email engagement, such as opens and link clicks. You can unsubscribe using the link in a marketing email or by contacting us. Unsubscribing from marketing does not stop necessary appointment or transaction communications.

Website activity. Our website and its service providers collect technical and usage information, which may include IP address, browser and device information, approximate location, page URLs, referring pages, cookie identifiers, and interactions with the site. We use this information to operate and protect the website, understand its use, and measure marketing performance.

PNH Guide. If you use our AI assistant, we and our chat provider process your messages, generated responses, and related technical information, as explained below.

We also use information as necessary to meet applicable legal obligations and resolve disputes. Health-related information remains subject to the additional restrictions that apply to it.

Cookies, Measurement, and Embedded Services

We use cookies and similar technologies for website functionality, security, analytics, and advertising measurement.

Squarespace Analytics and Google Analytics help us understand visits and website interactions. Google advertising tools help us measure whether ads lead to visits or actions on the site. These services receive technical and event information to produce reports; the information sent to them is not limited to aggregated reports. Analytics cookies may be used on pages you visit.

We do not use remarketing or personalized advertising. Our default Google advertising settings restrict advertising cookies and personalization. Even when advertising cookies are restricted, Google may receive measurement signals, including page URLs, referral or ad-click information, and technical information about a visitor's device and connection. Restricting cookies does not necessarily stop data transmission or make it anonymous.

We use Google reCAPTCHA to help prevent spam and abuse. It processes technical and interaction signals, such as IP address, browser and device information, and activity on the page, for security purposes. Embedded services, such as the Google map on our contact page, may also receive technical information when their content loads or you interact with it.

You can manage or delete cookies through your browser settings. Google also provides an Analytics opt-out browser add-on and advertising preference controls. These controls have different purposes and do not necessarily prevent every form of measurement. Blocking cookies or third-party content may affect website features.

PNH Guide and Chat Privacy

PNH Guide is an automated AI assistant for general questions about our clinic. It is not a clinician, is intended for general clinic information, and may give incorrect or incomplete answers. Do not use its responses as medical advice. Please verify information you plan to rely on with our office.

PNH Guide uses Chatbase and the service providers it uses to operate the chat, including providers that generate AI responses. They process the conversation and related technical information. Chat software may also load and receive technical information when a website page loads, even if you do not start a conversation. See Chatbase's privacy policy for information about its practices.

Our team may review conversations to check answers and improve the assistant and website. We do not use chat transcripts for marketing or sell them. The chat is not monitored in real time and is not a channel for messages to your care team.

Please do not enter symptoms, diagnoses, medications, laboratory results, insurance details, or other sensitive information. Anything you enter can be processed as part of the conversation. If you accidentally submit sensitive information, contact us to request deletion; you do not need to repeat the sensitive details in your email. We will promptly process requests to delete transcripts we control and coordinate applicable deletion requests with our provider, subject to recordkeeping and legal requirements. We will explain any limits that prevent us from fulfilling a request.

For clinical questions, established patients should use the Charm Patient Portal. If you are new to PNH, contact our office for the appropriate way to provide health information. For a medical emergency, call 911 or go to the nearest emergency department.

Who Receives Information

We do not sell, rent, or trade personal information. We disclose information to providers that support the activities described in this policy, including:

  • Squarespace, for website hosting, website forms, and Wellness Shop services.
  • Scheduling and payment providers, for appointments, deposits, and transactions. Our appointment scheduling provider operates under a Business Associate Agreement with PNH for the scheduling information it handles for us.
  • Google, for analytics, advertising measurement, spam prevention, and embedded maps, as described above.
  • Mailchimp, for optional newsletter subscriptions and email engagement.
  • Chatbase and its service providers, for PNH Guide.

For clinical services, we also use the Charm patient portal and Fullscript. When we arrange laboratory testing through Fullscript, we share the identifying, contact, and test-order information needed to provide that service. Fullscript operates under a Business Associate Agreement for that role. Fullscript also operates our online supplement dispensary, where account, payment, and fulfillment activities are subject to its applicable terms. Our clinical privacy notice describes our handling of health records.

When you use the Charm patient portal, you are in a separate environment operated by the portal provider, which PNH does not control. Your portal information is covered by our Notice of Privacy Practices.

Service providers' terms and notices explain their own practices. They do not replace PNH's responsibilities for information we collect, use, or disclose through those services.

We may disclose information when required or otherwise permitted by applicable law, including in response to lawful legal process or to address a safety threat. These circumstances do not override health-record consent requirements or other legal restrictions.

Security and Retention

We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. No system can guarantee absolute security. We provide security-incident notices when required by applicable law.

We retain information for the purposes described here and as needed to meet recordkeeping obligations or resolve disputes. Relevant considerations include the type of information, whether an inquiry develops into clinical care, and applicable legal retention requirements. Information incorporated into a clinical record follows the retention requirements for that record. We retain chat transcripts only as long as needed for the review purposes described above, subject to applicable legal requirements. You may request deletion as described below.

Your Choices and Requests

You can contact us to request access to, correction of, or deletion of information we hold about you, including chat transcripts. We will review requests under applicable law and may need information to verify your identity and locate the record. Some information must be retained, and clinical records have separate requirements. If we cannot fulfill a request, we will explain the limitation and any further steps available under applicable law.

You can unsubscribe from marketing at any time and use the browser and Google controls described above. For requests involving clinical records, contact our office or use the secure patient portal. Please do not email medical records, passwords, Social Security numbers, or payment-card details with a request.

Browser privacy signals. Our website does not currently change its behavior in response to "Do Not Track" or Global Privacy Control browser signals. We do not sell personal data or use it for targeted advertising, so those signals would not change how we handle your information.

Children

Our public website and AI chat are intended for adults, including parents and guardians arranging care for children. They are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through those features. Parents and guardians may provide information when arranging pediatric care. If you believe a child has submitted information directly, contact us so we can address it in accordance with applicable law.

Changes and Contact

We may update this policy as our practices change. The date at the top identifies the current version. Where a change requires additional notice, consent, or authorization, we will follow the applicable requirements before applying the change.
